How quickly will I hear back?
We typically respond within 24 hours. If your need is time-sensitive, include the date and time in your request so we can assess availability and recommend the most practical path forward.
Can you help with an urgent request?
Yes. Let us know what is urgent, the language pair, location or meeting format, and the deadline. Availability depends on the assignment, but early detail helps us evaluate options without delaying your decision.
Choosing the right service
Do I need a translator, an interpreter, or both?
Translators work with written content such as forms, contracts, and patient materials. Interpreters support spoken communication in meetings, appointments, hearings, and training. Many organizations use both to make the full experience understandable.
What information helps you recommend the right service?
Share the purpose, audience, language or languages, format, location or remote platform, timing, and any specialized terminology. For documents, page count or word count and a sample can help us scope the request accurately.
How is pricing determined?
Quotes reflect the language, service type, subject matter, format, volume, scheduling needs, and turnaround. Translation is commonly scoped by word count, while interpreting and training are commonly scoped by time and assignment requirements.
Quality and confidentiality
How do you support quality on specialized work?
We match each assignment with a qualified linguist whose experience fits the language and subject matter. Clear source materials, context, terminology, and review expectations help us prepare the right support for your audience.
Are certified translations available?
Yes. A signed Certificate of Accuracy can be provided for document translations when requested. Tell us the receiving organization and deadline so we can confirm the right documentation for your use case.
How do you handle confidential information?
We treat client materials and conversations as confidential and limit project information to the people who need it to deliver the service. Share any organization-specific handling requirements at the outset so they can be incorporated into planning.

Can you support law firms and legal matters?
Yes. Legal teams may need interpreting for client meetings, depositions, hearings, or mediation, and translation for documents and correspondence. Provide the matter type, language needs, setting, and schedule so we can plan appropriate support.
Do you work with manufacturers and other organizations?
Yes. We support organizations that need clearer multilingual communication for training, safety information, meetings, documentation, and community engagement. Recurring needs can be planned around sites, shifts, audiences, and anticipated volume.
AI Policy
How does Heartland use artificial intelligence (AI)?
Heartland uses AI as an internal productivity and business-support tool, never as a replacement for qualified human interpreters or translators. All client language services are provided by credentialed human professionals, and any AI-generated content intended for external use requires human review and approval.
Does Heartland use AI for interpreting?
No. All interpreting is performed by credentialed human interpreters. Heartland does not provide AI voice interpreting, automated interpreting, or machine-only billable interpretation.
Can AI assist with translation work?
AI-assisted tools may be used in translation workflows only when a qualified human translator completes the final review. Certified translations are completed by humans.
How does Heartland protect client, patient, and case information when AI tools are used?
Do not place client names, patient or case details, or personally identifiable information in consumer-grade AI tools unless a business associate agreement (BAA) or equivalent data-processing agreement is in place. HIPAA data may be used only in tools with verified HIPAA support and a BAA. When uncertain, omit sensitive data.
What approval is required for AI tools that handle sensitive information?
Any tool that handles protected health information (PHI) or client-identifiable data requires owner signoff and verified compliance before use. More restrictive client contracts, BAAs, and compliance obligations always prevail.
Can clients request human-only language services?
Yes. We are transparent about AI use upon request, and clients may request a written human-only or AI-exclusion addendum. This is AI Policy v1.0, effective April 2026; it is owned by Jacob Brown and reviewed annually.
